Job Opening: Admin Assistant / Bookkeeper 

Bi-lingual, On-Site.

Can be full-time or part-time.

West Tuality Habitat for Humanity, with offices at 3731 Pacific Ave. in Forest Grove, is a 501-c-3 charitable organization which builds and repairs homes for low-moderate income families in need, elderly and disabled persons. We are looking for an Administrative Assistant. The work schedule is flexible, but requires on-site work. (Not remote.)

Duties:

Answer phones, provide information to callers, transfer calls, and deliver messages as needed. Pick up mail from downstairs delivery point, route bills and correspondence to department heads for approval and processing, manage inventories of office supplies and order supplies as needed, enter and pay bills using QuickBooks accounting software, and assist Executive Director and other staff with correspondence, schedules and meetings. Handle administrative tasks as requested. Prepare reports and summaries. Maintain an efficient, professional, welcoming office environment.

A successful candidate will have:

  • Competency with Microsoft Office: primarily Word and Excel.

  • Competency with Google Office (gmail management, calendar, Google Drive, Google Office apps, etc.).

  • Ability to communicate effectively, including verbally in-person / face-to-face, on the phone and in writing (e-mail, reports, etc.) in both English and Spanish. 

  • Competency with QuickBooks; previous experience with accounting for non-profits and/or construction firms is desirable, but not required. 

  • Ability and interest in learning to use new software and apps, such as CRMs.

Work environment:

  • Frequent phone calls.

  • The office is in a second story walk-up facility. The bathrooms are downstairs. There is access to a break room and basic kitchen facilities upstairs.

  • Dedicated parking lot and we are served by the frequent service Tri-Met Bus 57.

  • All offices are shared.

Days and Hours:

  • This position is offered as a full time position, however, we can accommodate less than full time if needed for the ideal candidate, such as working around kids’ school schedules or other needs. For less than part time, pay and benefits may be scaled accordingly.  

  • Work days are generally Monday – Friday, 9-5.

  • Occasional evening or Saturday work may be required (i.e. for our special events) a few times per year. See our web site to view the kinds of ocassional weekend and evening events we have. All of these are in Forest Grove or Cornelius.  

Compensation:  A competitive hourly rate is offered, based on skills and experience: $18 to $30 per hour, DOE.
